Start with a room-by-room record
Write down the room, the date and the evidence. A mouse seen crossing a floor, chewed packaging and a sound behind a wall are different observations. Keep them separate so an assessment can establish what is connected. A simple note is more useful than estimating how many animals may be hidden.
Describe accessible openings
If an opening is already visible around a pipe, door or cabinet edge, note its position. Do not pull away fixed panels or enter restricted spaces to find a route. Take a photograph from an accessible position if it helps explain the location. The appropriate repair depends on the opening and who maintains it.
Share relevant maintenance concerns
NYC Health advises residents to report pest activity and conditions such as leaks or holes to the building owner. Include those observations with your pest record. Keep personal details about other residents out of a general enquiry, and identify the person who can arrange shared-space access.
Clarify treatment and repair responsibilities
Before booking, ask whether the visit covers inspection, monitoring, treatment or accessible exclusion work. Building repairs may be separate. Keep the agreed scope and follow-up instructions alongside your notes, then record new observations by date instead of assuming every old sign means continuing activity.
