Keep the report tied to a location
Name the refuse area, doorway or building edge where the animal was seen. Include the date and whether the sighting was repeated. Avoid approaching an animal or entering an enclosed service area to confirm what it is. Share only observations you can describe accurately.
Separate sightings from site conditions
A damaged container, loose waste and an opening under a door are useful details, but they do not prove the source of an infestation. NYC Health recommends secure waste containers and attention to openings that can provide access. Record the condition so the responsible property contact can review it.
Identify who controls the area
Shared refuse storage may require access from a superintendent, manager or business contact. A pest visit and a waste-storage repair can involve different people. Before requesting work, say which spaces are under your control and who can authorize checks in the others.
Ask what happens after the first visit
Confirm whether monitoring, follow-up and recommendations for site maintenance are included. Keep new sightings dated, and tell the property contact if the same container or opening remains unresolved. If using a public complaint route, keep that process separate from a private appointment; neither should be mistaken for confirmation of the other.
